Wi-Fi Design for Retail and Restaurants: Best Practices From the Field

A lot of people deploy wireless at restaurants, fast food, quick service, and small retail like convenience stores. The requirements for those places differ significantly from traditional Wi-Fi deployments. I've been doing this a long time — I've seen what works and what hasn't. This is the playbook.

But first, the way I approach wireless design overall. It's a methodology that answers the questions about a deployment before I ever set foot on the ground.

Where do transactions actually happen now?

This is what makes retail and restaurants unique. As operators move to kiosks and handhelds, you really need to identify where these transactions are supposed to be taking place. It's no longer just the drive-through or the point of sale counter. It's walking up to people as they sit down. It's delivering things to their table. It's walking out into the parking lot. It's third-party delivery drivers connecting to your network seamlessly — exactly the problem Passpoint was built for — to process orders, pick stuff up, and upload photos for validation.

Every one of those spots is a place where the network either works or visibly fails in front of a customer. Understand every aspect — because once you understand it, you can build and you can design and engineer for it.

What is top-down wireless design?

There are two approaches, and they work universally — north to south or south to north. (The east-to-west traffic that deters from what you're trying to accomplish? Skip it.)

Top-down starts with the outcome. What is it that the user is trying to accomplish? In a restaurant: customers order their food, servers input that data gracefully — and it works every time, without any hiccuping. From there you work down the stack:

  • You have to understand the users. Are there 5 servers? 10? 20? How many people will be using the application?
  • You have to understand the application. Usually the point of sale service. What are its network requirements? Design around the needs of the application — never wedge it into an existing network.
  • You have to understand the hardware. Is it a tablet? A handheld? A kiosk? A static point of sale computer? Each has its own frequencies, certificates, management, and security needs.
  • You have to understand the network services. Is it just DHCP? DHCP and DNS? Thousands of users — should you consider on-prem DNS?
  • You have to understand the physical environment. How big is the building? What are the walls made out of? How high is the ceiling? What's going to affect the RF?

Yes, I said "you have to understand" five times. That's the method.

What is bottom-up wireless design?

Bottom-up is the way I've traditionally done it — focused on network functionality rather than user experience. Same stack, in reverse:

Run it north to south and south to north and you cover all your bases. Just the physical environment opens up: square footage? Roof material? Where are the primary people going to be? Is there cabling? One layer, and the questions start popping up. That's the point.

Remember which layers you don't negotiate with. You can't change where the walls are. You can't change what the people are trying to do in those environments. Everything else gets designed around them.

What should you collect on a site walk?

On-site is absolutely imperative. A predictive survey gets you a long way, but an on-site call gives you so much more detail and depth — because the key to all of this is understanding the environment you're deploying in.

Wi-Fi is only as good as the environment that it's around.

Signals bounce off of walls. Signals get absorbed by things. Signals don't travel the way that you think they do. And sometimes when you turn a corner — signals don't turn corners.

So collect as much data as you can. My capture kit:

  • Photos — as many as you can. Mounting locations, cable routes, where the Ethernet bends around air vents or high-attenuation areas like refrigerators. Then the rack, the desks, the actual iPhones and tablets and headsets in people's hands — makes, models, generations.
  • 360-degree video. Hit record, walk the environment, analyze the imagery later to pick up what you missed.
  • Standstill video. Watch how people move, where they go, where they spend their time.
  • Voice memos. Talk about what you're seeing as you're seeing it — walls, height, construction. Bang on the walls to see what they sound like.
  • LIDAR. The floor plan is essential — don't get me wrong — but that's almost table stakes now. Most RF tools let your phone's LIDAR scan the rooms as you walk and build the floor plan for you.

How does AI fit into wireless site surveys?

Don't be scared to use AI in combination with good data. Drop your photos into an AI engine and it helps identify what's in them. Feed it the 360 footage and it picks up what you glanced over. It won't tell you what a wall is made of, for the most part — but you'll start to realize what it's missing. You may not know cinder block from regular brick, but bang on the wall, analyze that audio, and it might tell you. I'm not saying it works every time. I'm saying AI can be super helpful with that.

This matters extra here, because a lot of restaurant and retail deployment is cookie-cutter — same building, same materials, same standards. But some brands like novel locations. Old factories. Historic buildings. You don't know what you're getting into, and you can't tell from a floor plan.

And even if you're a total noob at this stuff, you can walk through with a 360 camera and the LIDAR on your phone, capture everything, and work with someone who knows how to design around it.

Why does Wi-Fi matter for guest experience?

A lot of times people just say: whatever Wi-Fi you're going to put in, just put the Wi-Fi in, we don't really care. The problem with that is that guest experience really cares.

I went to a restaurant recently that's got great reviews. They plate everything beautifully. They've got great little menus and games for the kids. And their cell service in there is horrible, and their Wi-Fi is horrible. They're asking you to pay online, and there's a waiter walking around with a handheld trying to take your payment — and it's not working half the time. I notice these things because I'm in the industry. Maybe other people don't. But maybe they do.

Because guest experience isn't just about one thing. It's about the whole experience. Can you look up that vacation home to see how far away it is while you're eating breakfast? Can you get on Zillow and find out what the houses cost at the end of your trip, so maybe you want to move there — like we do on every trip?

So put a little bit of effort into it. Take the time to do it correctly. Your guests will love it. Don't be the reason someone doesn't give you 5 stars. Don't let Wi-Fi be the reason someone doesn't give you 5 stars. It's easy to do. It's easy to fix. You just have to know what you're looking for.

  • Map every spot a transaction happens. Counter, tableside, kiosk, drive-through, parking lot, delivery pickup. If a payment can happen there, coverage has to be there.
  • Get on site. The floor plan is table stakes — walk the building before anybody draws a heat map from it.
  • Shoot everything. Photos of the rack, desks, and cable routes. A 360 walkthrough. Standstill video of how people move. Voice memos. Bang on the walls. Load it all into AI.
  • Inventory every device, by make and model. Their frequencies, certificates, and security needs decide what the network has to provide.
  • Write the application's network requirements before you pick gear. Roaming, latency, throughput, DHCP and DNS scale.
  • Run the stack both directions. Every question you can't answer goes on your survey checklist.

FAQ

Is a floor plan enough to design retail Wi-Fi?
No. The floor plan is essential, but it's almost table stakes now. It can't tell you what the walls are made of, where people congregate, or what will absorb or bounce the signal. You learn the environment on site.

What's the biggest design mistake in QSR and retail deployments?
Wedging the application into an existing network instead of designing around the application's needs. Start with the outcome — the transaction working every time — and work down the stack from there.
